The Data Entry Specialist ("DES") works closely with JAMS' Arbitration Practice Teams to understand and streamline the Company's data entry processes. The DES is responsible for inputting, updating, and maintaining diverse types of data into JAMS' systems with precision and efficiency. As an integral member of the Operations department, this position serves in a cross-functional, fast-paced environment to meet performance and quality assurance standards, which include entering and updating large volumes of data. The DES must also exercise flexibility when serving as backup support according to the needs of the business and in the interest of efficiency in workflow and operations.

Responsibilities

What you will do

  • Manages large volumes of data while adhering to deadlines by accurately inputting and updating data into the company’s database systems per Data Entry Standards.
  • Verifies data for accuracy and completeness, resolving any discrepancies as needed. Performs regular data auditing and addresses data inconsistencies by collaborating with the appropriate stakeholders to improve data quality.
  • Ensures seamless transfer of data and maintains security and confidentiality of all files according to JAMS' policies and procedures for data entry and information security.
  • Performs data cleaning; identifies opportunities to automate repetitive data entry tasks. Seeks to improve data entry processes and procedures to streamline operations and improve efficiency.
  • Serves as point-of-contact for associates to combine client and firm records.
  • Assists in the integration and migration of data between various company platforms (e.g., HubSpot, JAMS Access, and JAMSware).
  • Adheres to data security protocols and implements data encryption and compliance to protect sensitive information.
  • Assists with data clean-up projects, as necessary

Qualifications

  • High School or equivalent (GED). Required
  • Associate's Degree Required
  • Bachelor's Degree Plus
  • 2-3 years of working in an administrative, data entry, clerical, or operations role. Required
  • 2-3 years of working in legal and client service roles. Required
  • 2-3 years of working with Information Technology, audio, video, and video conferencing. Plus
  • Computer literate and proficient in Microsoft Suite, data entry, and management software (e.g., Google Sheets, and other database management systems), as well as any other software or digital application system required for the role. (Required proficiency)
  • Ability to organize, prioritize, and manage multiple responsibilities and tasks in a fast-paced environment. (Required proficiency)
  • Ability to employ thoughtful emotional intelligence and thoughtful and practical decision-making skills. (Required proficiency)
  • Ability to work independently and collaboratively. (Required proficiency)
  • Ability to complete assignments accurately with strong attention to detail. (Required proficiency)
