A Brief Overview

Manages small-to-midsized construction and renovation projects, including their respective budgets and deadlines, in addition to the maintenance of facilities in the Continental U.S. Oversees databases and insurance processes. Partners with JAMS local managers about their facility needs to ensure all offices are of the highest quality to meet clients, neutrals, and associates' expectations while maintaining company standards and providing training as necessary.

Responsibilities

What you will do

  • Manages local and national facility maintenance schedule(s), which includes but is not limited to office maintenance scheduling, quarterly maintenance HVAC management, upkeep of equipment, shredding, capital improvements, and repairs; manages capital maintenance budget.
  • Obtains bids and manages enhancement projects and assists with project oversight for relocation and renovations, such as the move-in/out procedures; partners with Operations managers to ensure all renovation move-in/out procedures have smooth transitions.
  • Manages the lease and property database and contact information; gathers, manages, and oversees the contract and property management contacts database pertaining to all facilities.
  • Manages the company's Certificate of Insurance process, which includes but is not limited to circulating the appropriate information to property managers and the company's local management on an annual basis. Oversees any issues that arise regarding insurance coverage.
  • Manages vendor and property management relationships.
  • Manages the facilities database, requests, construction close-out binders, and specifications for remodels or construction projects.
  • Leads small to mid-range renovation projects, including but not limited to bids, budgets, project management, and vendors; attends and verifies site and warranty walks with local management based on design and construction drawings.
  • Manages access control installations, including but not limited to programing, building set-up, troubleshooting, technical support, and associate training.
  • Assists local management teams with facility needs and minimal AV support.
  • Communicates with brokers, property managers, vendors, associates, managers, and neutrals over the phone or in-person for extended periods of time.
  • Communicates with clients regarding JAMS services, policies and procedures.

  • Addresses and resolves facility and/or client service issues for management and neutrals.

  • Manages team performance through regular, timely feedback as well as the formal performance review process to ensure delivery of exceptional services and engagement, motivation, and team development. Leads, coaches, and develops team.

  • Other duties as assigned within similar scope.

Qualifications

  • Bachelor's Degree in Communications, Business, or related discipline. - Required
  • 4-6 years of working in the construction and real estate sectors. - Required
  • 4-6 years of interfacing with clients. - Required
  • 3-4 years For internal candidates, proven ability in facilities management. - Required
  • Demonstrates a developing proficiency in budgeting, success measurement, expense management, and an understanding of the interrelations of those areas and the overall impact on the business imperative. - Required
  • Ability to assess client satisfaction and identifies additional client service opportunities; implements strategies to strengthen client relationships. - Required
  • Computer literate and proficient in all software programs required for the position. - Required
